The challenge
UX Breakfast runs Products League, a national product design competition in Egypt. Free form tools couldn't carry it. A form can't prove that the teammates one person types in actually agreed to join, more than 160 applications can't be reviewed fairly in a spreadsheet, and syncing tickets with door scanning needed Luma Plus at $708 a year.
What I designed
- 01Teammates prove they joinedEach one gets a private invite code by email, verifies it and adds their own details. Anyone who says "that's not me" is flagged to the organisers.
- 02Fair review at scaleEvery application goes to 3 reviewers, who score against a published rubric after a practice round, with a flag when their scores disagree.
- 03Results people act onResults appear on the team page and go out on WhatsApp. Accepted teams have 48 hours to confirm before the place moves to the waitlist.
- 04A $0 event dayTickets are QR images saved to the phone, and the first scan wins at the door. The whole platform runs on free plans and held 50 people at once with no errors in a load test.
What the data showed
Two weeks into registration, 139 of the 163 applications came from people applying alone, and 136 of them asked to be placed in a team. None had been matched yet, and 7 teams were below the minimum of four. The real bottleneck wasn't collecting applications. It was forming teams, which makes matching people by track the next thing to design.
Process
- 01
Apply
One person applies alone or for a team of up to 5, and gets a private status page.
- 02
Verify teammates
Each teammate joins with a personal code sent only to their own inbox.
- 03
Independent review
3 reviewers per application, with no contact details and no other reviewers' scores.
- 04
Team matching
People who applied alone and said yes to a team are grouped by track and role, then organisers tick them into a named team.
- 05
Publish results
Results go out by track, with places filled from the waitlist and every change logged.
- 06
Ticket and door
A phone-sized QR ticket; volunteers scan it at the door and the first scan wins.
- 07
Door check-in
Volunteers open the scanner on their own phone with a door PIN and name the phone, so every scan is traced to a gate.
